Update 6.7

Welcome to the March 8, 2020 release of features. We hope you like the latest updates in this version, the highlights are as follows:

New release

New improvements

  • Customer app – Enabling contact types of Group (like companies) and referrers (referral marketing system) to see all the transactions grouped or referred.

New fixes

  • Styling issue when printing closure reports is fixed.
  • Issue with “New transaction” triggered actions appearing after marking on account transactions collected is fixed.

Quote Feature

Geelus 6.7 now lets you create a Quote for your customers. Quotes have the following features:

  • Expiration Date.
  • It is Convertible to Invoice.
  • You can setup Geelus to send an automated email/sms reminder to the customer about the quote on, before, or after its expiration date.

Creating a Quote

Please follow the guide below to create a quote for your customer:

  1. Click the Plus button for “New Transaction”.
  2. Choose “New quote”.
  3. Enter the Customer name.
  4. Add the items to the Quote.
  5. Click on Pay.
  6. Choose “On Account” as Payment Method.
  7. Confirm the Quote by clicking the Check button on the Summary Page.

Expiration Date

Quotes made will have an expiration date which is mainly seen in the Transaction History.

Converting a Quote to Invoice

Please follow the guide below to convert a Quote into an Invoice:

  1. Navigate to “Transaction History”.
  2. Search for the Quote.
  3. Click on the 3-dot button on the right of the transaction.
  4. Click “Convert to invoice”.
  5. Continue to process the transaction as you would a normal sale.

Setting Up SMS Reminders

Please follow the guide below to setup automated SMS reminders to your customers about a Quote:

  1. Create an SMS Template in Settings -> Text message templates.
  2. Navigate to Settings -> Actions.
  3. Click the Plus button to create a new Action.
  4. Enter the Necessary details
    • Action name: Quote Reminder
    • Action type: Send text message
    • Text message using: Quote Reminder
    • Trigger Action: Quote expiration
    • Delay Sending. You can delay or advance sending the reminder by days, hours, and even minutes.
        • Off: The reminder will be sent on the Quote’s expiration date.
        • On – Positive value of “days/hours/minutes”: The reminder will be sent on your specified number of days/hours/minutes AFTER the Quote’s expiration date.
        • On – Negative value of “days/hours/minutes”: The reminder will be sent on your specified number of days/hours/minutes BEFORE the Quote’s expiration date

      For this example, we want to send the reminder 2 days before the quote expires. So, we enter -2 for days, and 0 for hours and minutes.

  5. Click the Check button on the top right corner to save the automated action.
  6. Add the Automated Action to your Register.

Transaction Types

Geelus 6.7 can now identify different types of transactions:

  • Invoice
  • Quote
  • Appointment (coming soon)
  • Pickup/Delivery (coming soon)

To identify the transaction type when adding a new transaction, please click on the Plus button for “New Transaction” and click your desired transaction type.

Actions Based on Transaction Type

With the new 6.7 version, Automated Actions can now be based on Transaction Type. To do this, all you need to do when adding an Automated Action is click “Apply to transaction type” and choose

  • All transaction types: The action will be applied to all types of transactions.
  • Invoice: The action will be applied only to invoices.
  • Quote: The action will be applied only to quotes.

Transaction Reports Based on Transaction Type

Geelus now lets you see Transaction Reports based on Transaction Type. To do this:

  1. Navigate to Reports -> Transactions.
  2. Type in the date range desired or click on the Calendar icon to choose the date range from Geelus’ date picker.
  3. Click on “Transaction type”.
  4. Choose which Type of Transaction you want to see the report of:
    • All: The report will include transactions of all types.
    • Invoice: The report will only show invoices.
    • Quote: The report will only show quotes.
  5. Click which report format you want:
    • Daily
    • Weekly
    • Monthly

Transaction History Transaction Type Filter

You can now filter the Transaction History based on Transaction Type. Please follow the guide below on how to do it:

  1. Navigate to Transaction History.
  2. Type in the date range desired or click on the Calendar icon to choose the date range from Geelus’ date picker.
  3. Choose if you want to see All the transactions or only “Overdue” transactions.
  4. Click on the Filters button.
  5. On the top left of the Filters window, please click on the drop down box for Transaction type and choose:
    • All are checked: The history will include transactions of all types.
    • Only Invoice is checked: The history will only show invoices.
    • Only Quote is checked: The history will only show quotes.
  6. Click outside the drop down box to confirm.
  7. Click “Apply” at the bottom right corner of the window to apply the filter.

Transaction History Category Filter

You can now filter the Transaction History based on Category. Please follow the guide below on how to do it:

  1. Navigate to Transaction History.
  2. Type in the date range desired or click on the Calendar icon to choose the date range from Geelus’ date picker.
  3. Choose if you want to see All the transactions or only “Overdue” transactions.
  4. Click on the Filters button.
  5. On the top left of the Filters window, please click on the drop down box for Category and choose one or a combination of Categories you want to see.
  6. Click outside the drop down box to confirm.
  7. Click “Apply” at the bottom right corner of the window to apply the filter.

Improved Date Range Selector

Geelus 6.7 now has better, and more efficient date selector/picker for the Transaction History and all the Reports. You can type in the date range you desire or you can click on the Calendar icon to choose the date range from Geelus’ new and improved date selector/picker.

Clicking on the quantity will open a popup to set only the item quantity

Updating the number of items is now easier. Please follow the guide below:

  1. Upon adding a new item, can click on the number of items and a popup window will appear.
  2. Set the number of items.
  3. Click “Set” to save the changes or “Cancel” to cancel.

Buy SMS Credits

You can now buy additional SMS Credits directly from Geelus. We have moved away from the manual process of having you submit a ticket and wait for the invoice. Now, you only need to follow these instructions:

  1. Navigate to Settings -> Company.
  2. Click on the Text messages tab.
  3. Click the “Buy more” button.
  4. Choose which package you are going to buy.
  5. Enter your credit/debit card details.
  6. Tick the checkbox for “Save card” if you want your next purchases to be more convenient.
  7. Click the Pay button to confirm your purchase.

Exclude Paid Invoices in Bulk Invoices Report

Geelus 6.7 now allows you to exclude paid invoices in the Bulk Invoices Report. Please be guided by the instructions below:

  1. Navigate to Reports -> Bulk Invoices.
  2. Type in the date range desired or click on the Calendar icon to choose the date range from Geelus’ date picker.
  3. Tick the checkbox for “Exclude paid invoices” to remove the paid invoices from the report.

Export Your List of Customers

For your personal backup, you may now download a copy of your Customers List Report to .CSV or Excel. Here is how to do it:

  1. Navigate to Reports -> Customers -> Customers list.
  2. Click on the Export button at the top right corner.
  3. Choose whether you want to download it in .CSV or Excel format.

Calculate the item price based on current total (excellent for surcharges or fees)

Geelus now lets you compute an item’s price based on the total amount of the transaction. This works best for services like consulation fees, professional fees, etc.. Please see the guide below on how to use it:

  1. Navigate to Settings -> Items.
  2. Click the Plus button to add a new item.
  3. Enter the item’s name (ex. Consultation Fee).
  4. Choose which Layout you want the new item to be shown.
  5. Click on the Pen button to edit the new item.
  6. Tick the Checkbox for “Calculate retail price based on current total”.
  7. Click the Check button to save.

In the example below, the price of the Cosultation Fee was defined as 20% of the total current price. When a new transaction worth $100 was added, the consultaiton fee was computed at $20.
