Update 6.9.6

Staff Rostering and Scheduling

Geelus 6.9.6 now lets you create, a Roster or Work Schedule for your store. Here are the steps on how to do it:

How to add Users

  1. Navigate to “Settings > Users”.
  2. Click the Plus button in the top right corner to add a User.
  3. Enter the Username for the User
  4. Enter its Password. Minimum of 8 characters.
  5. Enter the following details:
    • First name = Enter the first name of the user.
    • Last name = Enter the last name of the user.
    • Display name = Create and enter the display name. The Display Name is the one that appears in the system other than the real name or username. Ex. of a display name is Employee1
    • Email = Enter the email address of the system user.
    • Estimate production per hour = This is an approximate calculation of the User’s production per hour. It helps provides a forecast of how many hours booked and can be booked for a day.
      i.e. Estimate production per hour: 100
      A $1000 transaction is equivalent to 10 hours of work. 
    • Set the user to Active or Inactive  
  6. Click the Check button in the top right corner to save the changes.

Adding “Stores” for “User” access

Here is a guide on how to add Stores that can be accessed by the User:

  1. Click on the “Plus” button for “Can access stores”
  2. Enter the necessary details:
    • PIN = An alternate way to login to the store.
    • Toggle if PIN expires = Check this box and define a number of seconds before the PIN expires. Else, don’t check the box.
    • Role = The User’s role in the Store.
    • Default Page = The initial page that the user will see after logging in to the Store.
    • Limit Access by IP Address = Check this box and enter the IP address if you want to limit the User to access the store through only one computer/location.
    • Set if the User’s access to the Store is Active or Inactive.
  3. Click the Check button on the top right corner to save the changes.
  4. Click the Pen button for the newly added store access.
  5. Click the Plus button for a day to add a schedule for the user.
  6. The schedule window will appear.
  7. Click the Plus button for Shifts to add multiple shifts for the date.
  8. Choose the start and end date of the shift.
  9. Set if the schedule repeats weekly or not.
  10. Set if the repeating schedule continues indefinitely or ends on a specific date.
  11. Click the Save button to confirm the schedule.

View/Edit the Roster or Work Schedule

Please follow this guide to view/edit the Roster or Work Schedule:

  1. Navigate to Tools > Employee working hours / (schedule) Roster
  2. Click the Plus button for a date to add a schedule for the user. Alternatively, you can click on the schedule date to edit it.
  3. The schedule window will appear.
  4. Click the Plus button for Shifts to add multiple shifts for the date.
  5. Choose the start and end date of the shift.
  6. Set if the schedule repeats weekly or not.
  7. Set if the repeating schedule continues indefinitely or ends on a specific date.
  8. Click the Save button to confirm the schedule.

Access Weekly Roster/Schedule from the Tools Menu

The Weekly Roster or Work Schedule can easily be accessed for viewing or editing.

Please be guided by the following steps:

  1. Navigate to Tools > Employee working hours / (schedule) Roster
  2. Click the Plus button for a date if you want to add a schedule for a user. If you want to edit a previously added schedule, please click on the schedule’s date.
  3. The schedule window will appear.
  4. Click the Plus button for Shifts to add multiple shifts for the date.
  5. Choose the start and end date of the shift.
  6. Set if the schedule repeats weekly or not.
  7. Set if the repeating schedule continues indefinitely or ends on a specific date.
  8. Click the Save button to confirm the schedule.

Transaction Summary Action Buttons

Additional functions are now easier to be accessed through the summary action buttons. The role settings to show/hide action buttons on the transaction summary page enables a user to have access to these buttons. This can be set up in Settings > Roles.

Depending on the user’s role access restrictions, they let you do the following right from the summary page:

  • Print out print templates
  • Send email templates
  • Send text message templates
  • Mark the transaction as done
  • Mark the transaction collected
  • Edit the transaction
  • Set the extra fields for the transaction
  • Duplicate the transaction
  • Void the transaction
  • Refund on the transaction
  • Delete the transaction

Timesheet detailed export to excel and CSV

In version 6.9.6, a detailed report of your Employee timesheet can now be exported to Excel or CSV format.

Here is a guide on how to export the detailed timesheet report:

  1. Navigate to Reports > Employees > Timesheets
  2. Click the Export button on the top right corner of the Employee reports page
  3. Choose whether to export it in Excel or CSV format
  4. Choose if you want the Summary or the Detailed report
  5. The file will be downloaded to your computer

Role Settings

The relevant role settings are set up in “Settings > Roles”. In this new Geelus version, the following new role settings have been added:

  • Relevant role settings to enable/disable editing of the schedules.
    • Enables the user to edit the Work Schedule for the Store.
  • Relevant role settings to allow access to the schedules page.
    • It allows the user to access the Tools > Employee working hours / schedule (Roster) section.
  • Role settings to show/hide action buttons on the transaction summary page.
    • It allows the user to see the transaction summary page action buttons.

If the relevant role setting is checked (or active), it means the user that was assigned that specific role, will be able to use the feature or function in Geelus.
